Templates in eventPERCH help streamline event planning by providing reusable structures for timelines, budgets, and entire projects. By saving and reusing templates, planners can ensure consistency, reduce setup time, and improve efficiency across multiple events.
Timeline & Budget templates
Saving a timeline as a template
You can save and create a template of an event timeline at any time.
All times, durations, descriptions, and other attributes are stored securely, allowing for easy reuse in future events.
You can do this by clicking the three-dot context menu and selecting the Save as Template
option.
This opens a popup with these attributes:
Template Name - Enter a unique name for your template to easily identify it later
Description - Provide an optional description for your template to clarify its purpose or any important details
Keep Selected Vendors - Choose whether to save included vendors from the timeline in the template
This ensures that the same vendors can be reused across events when applied later
Saving a budget as a template
You can save and create a template for an event budget at any time.
All prices, amounts, descriptions, and other attributes are securely stored, making it easy to reuse in future events.
To do this, click the three-dot context menu and select the Save as Template
option.
This opens a popup with these attributes:
Template Name - Enter a unique name for your template to easily identify it later
Description - Provide an optional description for your template to clarify its purpose or any important details
Include prices - Choose whether to save a template including the prices, amounts and their calculations
Keep Selected Vendors - Choose whether to save included vendors from the timeline in the template
Loading timeline and budget templates
Both timeline and budget templates load in the same way and have the same conditions.
You can load a template into your current timeline or budget at any time by clicking the three-dot context menu and selecting the Load Template
option.
This action triggers a confirmation window, notifying you that loading a template will overwrite the current version of the timeline or budget.
When loading a timeline or budget template into an existing timeline or a budget, any current data will be replaced.
Once you confirm loading a template, a pop-up will appear displaying a list of all your saved templates.
If you’re loading a timeline template, only timeline templates will be shown
Similarly, if you’re loading a budget template, only budget templates will be available
Clicking the arrow on the right confirms your selection and overwrites all current entries in the timeline or budget, as applicable.
Project templates
In addition to individual timeline and budget templates, eventPERCH allows you to save an entire project as a Project Template.
Saving a project as a template
This includes all events and their timelines, budgets, vendors, and other project configurations - ideal for recurring or standardized event types.
To save a project as a template navigate to the Project Overview and there click the three-dot menu and select Save as template
option.
This opens a popup with these attributes:
Template Name - Enter a unique name for your template to easily identify it later
Description - Provide an optional description for your template to clarify its purpose or any important details
Project templates are stored alongside your other templates and can be selected when creating a new project or rewrite already created one.
Loading a project template
There are two ways to load a project template, depending on where you are in the app.
From the Project List View
You can load a project template when creating a new project from the Projects. Click the Load template
button to begin.
A pop-up will appear showing all available Project Templates for you to choose from.
This method is ideal for quickly starting a new project based on an existing structure.
From the Project Overview Screen
You can also apply a Project template to an existing project. To do this, navigate to the Project Overview of the project you wish to update. Click the three-dot contextual menu, then select Load template
option.
A confirmation dialog will appear, informing you that loading a template will overwrite the current project’s data.
Once confirmed, a list of available Project Templates will be shown. Select the desired template to apply it to the project.
Applying a project template will completely replace the existing project.
