Learn how to effectively manage your project budgets, understand dependencies, and explore various budget attributes.

The Budget is enabling planners to track all expenses effortlessly and ensure everything stays within financial limits.

The overall transparency of the budget is further enhanced by various attributes that budget items can have, which we will describe below.

Budgets are unique to each event.

Budget Item Categories

Each budget item is assigned to its respective category table for optimal organization and clarity.

Budget categories are directly linked to Vendor tags, meaning they are automatically synchronized.

When you set or create a new Vendor tag, a corresponding budget category will be created with the exact same name. How to manage budget categories is described here.

Overview of Key Fields

Here is a breakdown of the key fields in the event budget:

  • Description - A brief description of the budget item

  • Vendor - Service provider or supplier responsible for that specific budget item

  • Qty (Quantity) - The number of units purchased or required for this budget item

  • Unit Price - The cost of a single unit of the budget item

  • Total - The overall cost of the budget item, calculated as: Total = Qty Γ— Unit Price

  • Payment Group – An attribute that defines the payment group assigned to a specific budget item, used for future Vendor Payout calculations as outlined here

  • D / P (Direct / Planner) - Indicates whether the payment is made directly to the vendor or through a planner

  • Fee - Specifies whether the planner is taking a fee from this budget item. is taking a fee from this budget item

  • Notes - Place for notes

Budget Features and Functionalities

Below are the key features and capabilities for managing your budgets:

Adding Budget Items

There are two ways to add a new budget item:

  1. Click the Add Item button – this will create a new empty entry below the last recorded item

  2. Hover over an existing budget item and click the + button – this will add a new item directly beneath that specific budget item

Deleting budget items

If you wish to delete an item, you can do so through the three dots menu by selecting the Delete Item option.

Duplicating an Item

Selecting the Duplicate option will create an identical row beneath the item that is being duplicated.

Flagging an Item

The Flag Item feature allows you to mark a budget item by adding a colored highlight and a small flag icon.

This can serve as a visual reminder that the item requires attention and should be revisited later. Flagged items can also be easily filtered.

Moving a budget item between categories

If the user wishes to move existing budget items between categories, he can do so through the three dots menu.
