Timeline fundamentals

Learn how to create Timeline items and understand the dependencies between times, vendors, and locations.

The Timeline is an essential feature for event planning, allowing you to manage all activities seamlessly and ensure everything runs on schedule.

Each timeline item can be assigned a specific vendor and location, giving you a clear overview of every detail.

Timelines are unique to each event.

Overview of Key Fields

Here is a breakdown of the key fields in the event timeline:

  • Start, duration and End time - These time parameters are interconnected, allowing for automatic calculations when at least two values are provided

  • Description - A brief description of the timeline item

  • Sequence - The Sequence parameter allows you to link multiple timeline items together, enabling seamless adjustments with a single action

    • To learn more about how to set up and utilize Sequences, please refer to the Sequences documentation

  • Vendor - Service provider or supplier responsible for that specific timeline item

  • Location - Venue where that specific timeline item take place

  • Tags - Tags are responsible for identifying timeline items. By default, they reflect the tags associated with the assigned vendor or location

    • However, users can customize tags for each timeline item to enhance organization and clarity

  • Notes - Place for notes

Note: Timeline items are automatically sorted chronologically, first by start time and then by duration. You can only drag and drop timeline items that have the same start time.

Timeline Features and Functionalities

Here are described fundamental timeline capabilities:

Adding timeline items

There are two ways to create an additional timeline item:

  1. Click the Add Item button – this will create an empty entry beneath the last recorded item

  2. Hover over an existing timeline item and click the + button – this will create an additional row directly beneath that particular timeline item

Changing the Date of Timeline Items

To change the date for a timeline day, click on the current date and select the desired date from the date picker.

Adding a new day, deleting days

By default, timelines start with the primary event date - the date set by the planner when creating the event.

You can then add additional days to the timeline by clicking the Add Day button.

This action creates a new table for the added day.

To create a table for a new day at the beginning (before all other days), click this three dots menu and select the Add Day option.

Deleting a day

To delete a day, simply go to the three dots menu of the specific timeline day and select the Delete Day option.

Deleting timeline items

If you wish to delete an item, you can do so through the three dots menu by selecting the Delete Item option.

Duplicating an Item

Selecting the Duplicate option will create an identical row beneath the item that is being duplicated.

Flagging an Item

The Flag Item feature allows you to mark a timeline item by adding a colored highlight and a small flag icon.

This can serve as a visual reminder that the item requires attention and should be revisited later. Flagged items can also be easily filtered.

Moving a timeline item between days

If the user wishes to move existing timeline items between days, he can do so through the three dots menu.

The list will be populated with all other days created on the timeline. You can also create a new day, and the item will be automatically moved there.
