How to Add a Budget Item Without an Event

Not every budget item applies to one specific event. If a cost applies to multiple events or to the project as a whole, you can add it to the Project-Level Budget without assigning it to just one event.

When should I leave the event unassigned?

Use this option for costs that belong to more than one event within a project.

For example, a wedding weekend may include a welcome dinner, wedding day, and farewell brunch. If you have a cost that applies across multiple days or to the entire weekend, you don’t need to choose one specific event for that budget item.

You can also leave the event unassigned when a cost applies to the project as a whole rather than to a specific event.

How to add a budget item without an event

  1. Go to the Project Budget.

  2. Add your budget item and enter the applicable cost.

  3. Do not select an event for the budget item.

  4. The item will automatically be categorized as No Event.

Where will the budget item appear?

Once added, the budget item will flow into the appropriate project payout section based on how the item is set up.

  • Project Vendor Payouts
    If the budget item has a vendor assigned, it will appear in the Project Vendor Payout page under the chosen vendor showing as Items Without an Event.

  • Project Company Payouts
    If the budget item does not have a vendor assigned and is marked as a Company Expense, it will appear in the Project Company Payout page showing in the No Event Company Payout category.

Example

If you have a $5,000 transportation cost that covers transportation for the entire wedding weekend, rather than just the welcome dinner, wedding day, or farewell brunch, add it to the Project Budget and leave the event unassigned. It will be treated as a No Event budget item and will appear accordingly in your project payouts.
